Their specialisms are real estate, banking and finance, commercial, corporate, employment, dispute resolution and litigation.

The Job:

On behalf of our client we are seeking a Legal Secretary, to support their Pensions, Incentives and Corporate Tax team in Bristol. You will be supporting 14 fee earners and two senior knowledge lawyers and your role will be to carry out a range of secretarial and team management responsibilities including diary management, invoice processing and financial management. You will have part time support from a junior secretary as well as support from the business development team in relation to the hosting of events (both virtual and in-person).

Responsibilities will include:

Forward planning and diary management for all fee earners including making arrangements for internal and external meetings, room booking and travel arrangements.
Ensuring fee earners inboxes are proactively monitored including e-filing and dealing with emails as appropriate.
Managing the monthly invoicing process across the team, together with the centralised billing team.
Proof reading and amending legal documentation and reports.
Maintaining a range spreadsheets to aid in overall team management such as aged debt, Client Due Diligence and Continuing Professional Development.
Providing document support including house styling and paginating documents of varying sizes.
Answering telephones, fielding calls and dealing with clients on behalf of the fee earners such as taking messages and providing assistance.
Ensuring administrative tasks such as file reviews and bible creation (electronic and hard copy) photocopying, dictation, printing and client matter financial requests are completed in an organised and efficient manner.
The Person:

For this role our client is looking for someone who has the following skills and experience:

A pro-active person who uses their initiative to forward plan and manage multiple tasks
Previous legal and/or secretarial experience is essential
Excellent communication skills (both oral and written) are important to be able to meet client expectations and manage the team.
Good interpersonal and people management abilities.
Good organisational, task management skills and flexibility.
A good team player
Accuracy and attention to detail.
Good knowledge of the following applications is essential for this role: Outlook, Word, PowerPoint and Excel.
Ability to use Microsoft and bespoke systems to format and amend large documents, reports and presentations to a high standard.

The Location:

Mix of home and office working (central Bristol, no car parking). For this role the team is very happy for someone to predominately working from home (the current job holder comes into the office twice a month)
